Important: Calm Assistant is not a password manager, secure secrets vault, end-to-end encrypted service, or independently security-audited product. Do not store passwords, banking credentials, recovery codes, cryptocurrency seed phrases, private cryptographic keys, or other highly sensitive secrets within the application.

About Calm Assistant

Calm Assistant is provided by Keep Track Solutions Pte. Ltd.. It is a personal organisation application that helps users manage tasks, reminders, renewals, bills and receipts, health records, people information, and life and asset records.

Google User Data We Access

When you sign in with your Google Account, Calm Assistant requests access only to the Google information required for its documented features.

Depending on the features you use, Calm Assistant accesses:

Your primary Google Account email address for identification.
Your private Calm Assistant Google Sheets workbook, including creating, opening, reading, updating, organising and deleting application records.

How Google User Data Is Used

Google user data is used solely to provide Calm Assistant functionality requested by you, including:

Authenticating your Google Account.
Creating your private Calm Assistant workbook.
Opening your workbook during future sessions.
Reading, updating and organising your application records.

Google user data is not used for advertising, marketing, profiling, data brokerage, credit determination, or training general-purpose artificial intelligence or machine-learning models.

Where Your Information Is Stored

Your Calm Assistant records are stored in a workbook in your Google Drive and are protected by your Google Account and Drive access settings.

Calm Assistant operates using Google Apps Script and Google Workspace services. Google and the authorised Calm Assistant application may technically process your data to provide the requested functionality.

Bills, Receipts and Text Recognition

Supported PDF files are read in your browser. The PDF itself is not uploaded to Google Cloud Vision, and PDF processing does not consume the monthly image-scan allowance.

When you choose a JPG or PNG image for text recognition, the image may be sent temporarily to Google Cloud Vision. In the normal workflow, Calm Assistant does not retain the source image, raw recognized text or raw OCR response. Only details you review and confirm are stored as application records.

Image OCR can be incomplete or incorrect. You are responsible for checking merchant, date, amount, reference and item details before saving them.

Image OCR is limited to 20 scans per authenticated user per calendar month. If you reach the limit or need help, contact innovations@keeptracksolutions.com.

Sharing, Transfer and Disclosure

Calm Assistant does not sell, rent or share your Google user data with advertisers or unrelated third parties.

Information may be disclosed only:

when you explicitly request or authorise an action;
when required by applicable law or legal process;
to investigate or prevent fraud, abuse or security issues;
as part of a lawful business transaction involving the application, where legally required.

Protection of Google User Data

Calm Assistant uses Google's OAuth authentication system and does not create or store a separate application password.

Communication with Google services uses HTTPS/TLS encryption. Access to your Google data is controlled through your Google Account authorisation and the permissions you grant.

The application is designed to request only the Google permissions necessary to provide its documented functionality.

Only requests initiated by the signed-in user through Calm Assistant are used to access Google user data. Calm Assistant does not continuously monitor, crawl, index or analyse the contents of your Google Drive or Google Sheets outside actions initiated by the user.

Data Controls

Calm Assistant provides features allowing you to:

update your records;
export your data;
clear completed records;
delete application records;
leave Calm Assistant.

You may also revoke the application's access through your Google Account security settings.

Data Retention and Deletion

Your application data remains in your Google Drive until you choose to delete it, delete the workbook or use the application's deletion features.

Revoking Google Account authorisation prevents future access by Calm Assistant but does not automatically delete your existing workbook or its contents.

Health Records

Health Records can help you keep information such as blood tests, lab results, biomarkers, blood pressure and medicines organised. Calm Assistant does not diagnose conditions, interpret results, or replace medical advice.

Document References

Document references can record what a document is, what it relates to, and where you keep it. Calm Assistant does not upload or store the document itself through this feature.

Google API Services User Data Policy

Calm Assistant's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Google user data is used only to provide user-facing features requested by the signed-in user. Google user data is not sold, used for advertising, used for marketing, or used to develop, improve or train general-purpose artificial intelligence or machine-learning models.

Service Limitations

Availability, reminder behaviour and features may change over time. Stored reminder preferences do not necessarily mean external notifications are actively delivered.
